About

AAEN is staffed entirely by volunteers. AAEN's management structure is non-hierarchal and we are led by our steering committee, making decisions by consensus. The steering committee is made up of all the active volunteers who provide AAEN services, and any member is welcome to volunteer their talents and time and thereby become a steering committee member. All members are welcome to attend and participate in business meetings - we welcome input from all our members.

This page describes all the jobs necessary to make AAEN function smoothly. At the moment, we are functioning primarily as a social group, so most of the jobs are inactive. They are listed here to give future members an idea of what may be involved if they decide to resume holding classes in the future. Click on a job title to read its description and decide where you want to help out!

STEERING COMMITTEE
The steering committee consists of all AAEN members who actively volunteer in any capacity. The steering committee makes all decisions regarding the finances, philosophy and direction of AAEN.

CLASS COORDINATON COMMITTEE
Classes are our most time-consuming ongoing activity. The job of coordinating classes is shared by the members of this committee. Specific sub-jobs are : Teacher Liaison, Facility Liaison, Chess Liaison, Clean-up Coordinator, Publicity, Registration, and Chess Clean-up.

FINANCE COMMITTEE (SUB-COMMITTEE OF STEERING COMMITTEE)
Treasurer is chair of committee. Oversees unusual financial expenditures Monitors treasurer. Treasurer does not vote in decisions relating to treasurer's performance. Proposes projects requiring major expenditures and organize fund raisers to pay for project.

FIELD TRIP COMMITTEE
Coordinator is chair of committee. Committee members able to track calendar of coordinator is unable to. Sets up field trips. Encourages membership involvement in setting up field trips.

PRESIDENT/VICE PRESIDENT
Organizes and chairs meetings of the steering committee, finance committee and general AAEN business meetings.

TREASURER/MEMBERSHIP
Treasurer receives all monies for: Newsletter subscriptions and renewals (memberships) Field trip fees Treasurer deposits money into AAEN bank account. Treasurer receives and reconciles bank statements. Treasurer receives and catalogs RSVP forms. Treasurer notifies field trip organizer of final attendance list. Treasurer notifies newsletter publisher of subscription information (names, addresses and date of subscription). Treasurer creates deposit summary reports. Treasurer creates cash flow statements. Treasurer writes checks for field trips paid to the field trip destination and in the amount of the monies received by the field trip RSVP deadline (members responding after the deadline must make their own arrangement for attending; late responders cannot be included in AAEN payment). Treasurer mails check for field trip to field trip organizer; field trip organizer responsible for presenting check at the field trip location. Treasurer writes reimbursement checks for members who have spent approved money for AAEN, such as newsletter and mailing costs. Treasurer must have initialed original receipts before reimbursement check can be written. Unusual costs must be approved by steering committee before reimbursement payment can be made. Treasurer is chair of finance committee. Checks must be signed by 2 AAEN officers or 2 members of the finance committee. Members involved regularly in activities requiring significant expenditures for AAEN may not sign checks. No checks may be signed in advance. Treasurer reports on AAEN's financial status at business meetings.

SECRETARY
Secretary records the minutes of all meetings. Secretary prepares report of meetings for publication in the newsletter. AAEN correspondence (other than subscriptions, field trips and RSVP's) to be forwarded to secretary to be read and catalogued for presentation of general information to the steering committee. Secretary responds to AAEN correspondence with approval of editorial content from the steeering commitee.

CLASS COORDINATOR - TEACHER LIASON
Recruits teachers for each class session. Gets class descriptions and forwards them to publicity coordinator. Schedules classes and allocates classroom space. Resolves space conflicts together with Facility Liason.

CLASS COORDINATOR - FACILITY LIASON
Annually negotiates lease with class facility. Arranges liability insurance with facility. Finds new facility when necessary. Resolves space conflicts together with Teacher Liason. Resolves maintenance issues with facility.

CLASS COORDINATOR - FACILITY LIASON
Annually negotiates with chess provider (currently KidChess). Resolves problems with chess teacher and requests new teacher if needed. Resolves issues regarding chess class.

CLASS PUBLICITY
Gets class listings and descriptions from Teacher Liaison and forwards them to various metro area homeschool email lists. Makes sure webmaster has information for postig to the aaen website. Sends out notices and reminders about registration dates and class closings. Seeks out other venues for publicizing AAEN classes.

CLASS REGISTRAR
Arranges class sign up. Collects class fees and forward to individual teachers. Collects room use fees. Collects names and emergency contact information for all class participants. Insures that all participants are aware of behavior expectations and facility-specific rules.

CLASS CLEAN-UP
This job is a short-term committment, volunteering for one class session at a time.
We are responsible for cleaning the rented class facility each week. Teachers are responsible for cleaning up after thier own classes. Parents are responsible for cleaning up any messes caused by thier own family. This leaves emptying trash cans, wiping counters and sinks, tidying bathrooms, and sweeping hallways for us to do as a group. The clean-up coordinator makes sure these jobs are done and the facility is left in good condition each class day. This person is responsible for recruiting volunteers, usually via a sign up sheet at registration, reminding volunteers on thier day to work, finding replacements if needed, checking to see that all jobs are done, and speaking to the Facility Coordinator about maintenance and supply issues that may arise.

CLASS FACILITY OPENER
Maintains control of AAEN copy of facility key. Arrives at class facility at least 15 minutes before first class period. Unlocks buildings. Buildings at our current location can be locke at end of day without a key, so this person does not have to stay all day. This may change if we ever move. Arranges a substitute in advance if needed.

WEBMASTER
Maintains the AAEN website www.aaengroup.com. Adds content as needed. Updates class information each session. Maintains lists of upcoming events and field trips. Arranges and assures payment for hosting of site and continued registration of aaengroup.com domain name.

YAHOOGROUP MODERATOR
Maintains the AAEN yahoogroup fora aaengroup, AAEN-SC and AAENmembers. Approves (new member requests (or not). Sets new members to normal status after first moderated post (to screen out spammers). Monitors list messages and reprimands posters who do not conform to AAEN etiquette standards. Removes members if necessary. Helps new aaen members get on the lists. Gets names of new paid members and puts them on the "AAENmembers" list. Helps members set up polls, upload files etc.

PHONE CONTACT
Allows name and phone number to be publicized on AAEN Hotline. Makes self available to discuss homeschooloing in general and AAEN in particular with hotline callers. Must be patient and willing to discuss the same "getting started" issues and concerns over again with each new caller, remembering that while it's old and familiar to us, it's new and scary to them.

EMAIL CONTACT
Answers mail sent to mail@aaengroup.com. Makes self available to discuss homeschooloing in general and AAEN in particular with emailers. This is usually done by the webmaster, but any member can set themselves up to get and answer mail from this address. Must be patient and willing to discuss the same "getting started" issues and concerns over again with each new writer, remembering that while it's old and familiar to us, it's new and scary to them.

HOTLINE RECORDING
Hotline message should: Contain a brief description of AAEN and names and phone numbers of members willing to talk to new homeschoolers and potential new members. Have basic information about playdays. Include pertinent information from the newsletter if possible, including field trip information (dates, times, RSVP deadline), class information (including phone number of contact person), and directions. Include who to contact for complimentary newsletters. Include who to contact to submit information to the newsletter.

FIELD TRIP COORDINATOR
Coordinator keeps calendar of all AAEN events. Coordinator OK's tentative dates for a field trip when notified by a field trip organizer to prevent major time conflicts for activities.

POTLUCK COORDINATOR
Rents space for potluck.
Coordinates paper goods, drinks etc.

USED CURRICULUM SALE COORDINATOR
Decides format of curriculum sale. Arranges venue for sale and any permits required. Works with publicity people to publicize sale widely.

MOM/FAMILY NIGHT OUT COORDINATOR
Plans place and dates for events.

NEWSLETTER PUBLISHER
Note: We currently do not have a newsletter. We communicate via our website and yahoogroup email list. This information is included for historical purposes and in case we decide to revive a newsletter in the future.

Publish all information that any AAEN member wants included in the newsletter. The AAEN newsletter is the open forum for AAEN members. Publish all information regarding classes, activities and events that might be of interest to AAEN members. Commonly known events (Piedmont Arts Festival, Festival of Trees, Renaissance Festival) should be excluded from the print version of the newsletter in the interest of keeping expenses as low as possible. Publish disclaimer that AAEN does not necessarily recommend any classes, field trips, or other events that are not set up by AAEN members; information about such things is included so our members can make their own choices. Reviews for the newsletter of any field trips, classes, or other events are most welcome. Publish Hotline phone number (and list of mailboxes and their codes, if applicable). Editorial revisions allowed only with agreement by the author or the steering committee. Editorial writing is to be reviewed by the steering committee prior to publi cation. Publisher is responsible for mailing newsletter. Publisher purchases newsletter supplies and postage. Reimbursement with initialed original receipts only. {Use of postage meter machine OK - for reimbursement, include current printout of mailing labels including all subscribers and all complimentary newsletters.} Publisher tracks subscription expiration dates and tracks new members receiving complimentary newsletters. Publisher retains a record of the addresses of complimentary newsletter recipients even if they do not subscribe. If renewal payment has not been received, one additional newsletter is to be mailed out after the expiration date. Expiration date on the newsletter mailing label is sufficient notice to members of payment due (or a note or stamp attached to the final newsletter stating that it is the last newsletter the member will receive until payment is sent). Permanent complimentary newsletters must be approved by the steering committee. Publisher makes a report at business meetings regarding the current number of AAEN subscribers, including a separate count for new members and including a separate count for permanent and one-time complimentary newsletters. Frugality is of prime importance and must be the first consideration in all purchases, newsletter formatting, and printing and mailing costs. Newsletters must come in sufficiently below the subscription fee per newsletter to allow for mailings of complimentary newsletters. The AAEN mailing list is not to be made available to any organization; information can either be included in the newsletter or upon permission from the steering committee, mailing labels can be provided.

CHESS CLEAN-UP
The chess classes require significant moving of furniture each week, so set up and clean up of the chess room is a job by itself. This person helps the chess instructor set up tables and chairs before class, and makes sure the chess classroom is returned to it's original state after class. Takes down tables, puts away chairs, sweeps.
This year, the chess class is small enough that the teacher and assistant can handle the job themselves, so we do not require a volunteer for this job.
